New ideas, Updates


  1. The Brady Bunch idea was reintroduced, furry animals theme discarded at thursday's meeting
    1. Ron Batres and Lizette Lopez as Papi/Mami respectively. 6 Kids, including Jaime Zea, Jonathan Gutierrez, Tanya Davis-Castro, Nancy Fernandez. 2 more needed, ideally underclass(wo)men!!!
  2. We need to get Status Reports from committees - how is everything coming?
  3. Please: Each committee should make their own meetings to advance INDEPENDENTLY from the weekly meetings. The latter are used only for coordination, progress reports, communication and general brainstorming and presenting.
  4. Jen Parbus is now the publicity chair. Im sure she needs loooots of help, as I assume we might be a bit behind schedule.
  5. I am personally recruiting a replacement for performances: My thesis is running a bit behind schedule and I need help to get performances in order. Please email me at mbenaim@email.unc.edu if you are interested in heading the committee with Pam and I.

Dirty, Sexy Money.

There are two important issues to discuss in terms of money, which were brought up Monday night at Exec Board meeting - and which I post here for your consideration. It is very important that you read all the way through! Money issues are the unholy underbelly of the arts, but, alas, what makes it happen. These are BUDGET and TICKETING.

Budget
After some confusion and miscommunication about available budget, Ronald clarified the situation with the budget for noche. Our total cashmoneys amounts to roughly $1200

The total allocated funds are further broken down into how the money may be spent - this is in order to comply with Student Government regulations. Here is the distribution:
  • Production: $550
  • Programming: $300
  • Publicity: $77
  • Travel: $77
  • Equipment: $273
  • Office Supplies: $37
  • Union: $40
In addition to this money we could potentially (and this is ABSOLUTELY AS A LAST RESORT) dip into the organizations' generated funds. Further, the budget outlined above solely covers costs related to the show proper, and the budget for food will come separately, from generated funds, as these are not authorized official expenses in the eyes of S.G. (hey, don't they know we gotta eat... tsk tsk, so cheap!)

To lay all the bad news on the table at once, we have also, upon taking vote from the Executive Board before this committee was formed, pledged $600 to the house band who has played with us since the seedling days of the organization. This was at the request of various advisors, as the band really has stuck with the organization for many years, and it is considered important to honor the relationship CHispA has formed with them.

That leaves us with some ill distributed $600 for... well... everything else.

This really isn't very much, i'm sure you're thinking. What I need everyone to do is sit with your respective committee and using the information available to you at this point (decisions made at meetings) create a detailed budget and bring it on Thursday. This is homework, and not optional! This will allow us to assess how much we need vs. how much we have.
Please don't make up numbers - I want informed estimates. I have never seen 1000 flyers printed for 5 dollars - let's be realistic.

Jean suggested yesterday that we should have a fundraising event (or two) - Que Rico has put on a number of successful events at Vespa and the late Patio Loco, with great success.

Ticket Prices
We had at some point discussed this and set them at $5 (the 'single bill' and 'perception of reasonably priced show' hopefully encouraging attendance). Later, this was amended to $7 per ticket and everyone would get free food. High school students we invite through the Office of Diversity and Multicultural Affairs were to get concessionary prices: $5 including food. Several issues were brought up, which I list below:
  • $7 too expensive:
    • Too messy, too much change hassle
    • Too expensive for most people, seems like they could do something else with it (like eat a burrito?)
    • Objection to not charging for food - distribution lines, what about those who don't want to eat? What happened to the concessions stand type idea and charging $1 per snack?
    • In this case, would we have people passing empanadas around? (or whatever it is we serve?)
  • $ 5
    • Are we going to make enough money?
    • charging for food imperative, in which case pricing of food items should be discussed!
    • How much should we then charge H.S. students? Keep prices constant? Maybe give THEM free food? incentives?
  • Concessionary prices
    • UNC greensboro wants to bring group (around 20 ppl) and pre-pay - they are asking for group discount. What does everyone think?
    • Special prices for HS students: how do we feel about this? the original idea was to give them incentives to come to keep morale up for students who identify as Latino to see college as possible (through ODMA)
    • Special invitations: Anyone?

About Outreach

I think reaching out to the schools in the area is a fantastic idea. We agreed in subsidizing their tickets, selling them for $5 rather than $7.

Someone must take charge of collaborating with Josmell at Diversity and Minority Affairs. Once the flyer is composed, invitations must be sent out to school counselors and administration. It would also be useful if some would like to volunteer to go to some of these schools (specifically those with heavy Latino presence) and promote the show.

Food

This year we are just serving pasapalos. We discussed pupusas, empanadas (small, of the Central American variation) and nothing sweet has been suggested. Perhaps we could also have juices (Jumex), Aguas frescas and/or Chicha/Horchata. A donation of Pastelitos de Queso was suggested.

A timeline is posted so that proper financial allocation can be calculated, please take care that these are met.

Timeline
  • Week of March 20th: Food committee should have come up with 2-3 budget options, having contacted food venues in the area. These will be discussed in-meeting.
  • MONDAY March 24th: Committee representative will attend Executive Board meeting (Union 2515 at 6:30) to present these options to budget committee. Voting and funds allocation will take place
  • April 3rd: Food should be secured, funding given. This week should also include recruiting within the GB to get volunteers to help with serving. Incentive could include rebate on Noche Ticket
  • Day of Show: make sure food arrives in timely fashion. Serve.

  • It seems that OASIS will be unable to perform. Suggestions for different groups have been discussed, including
    • Tambor Urbano (I am skeptical of this - what is the information for this group? They are a supergroup in Venezuela if THIS is what is being referred to) if it is a copycat group in the area, then do we know who we can contact?
      • In either case, you can see in the youtube how tambores are danced to in Venezuela. I wonder why its not more popular internationally.
    • A group from Durham was suggested, alas I cannot read my own handwriting and need someone to refresh my memory
  • We are running behind on finding someone to edit and film our video. IT IS IMPERATIVE we do this soon. Please bring to next meeting names and suggestions. Approach people at the MRC and Beasley center editing room as well.
Timeline:
  • March 7th: Must have compiled (if not contacted!) a definitive list of performers. The preliminary list has been posted in a previous date. Also compile a list of Video Savvy people, contact them and offer candy (heh)
  • March 20th: Have confirmed list of performers and a database of contacts for each group that will be made public via this blog.
  • March 27th: A pre-definitive list of performances organized by time-slot. This will be finalized in tandem with the script that is being written for the presenters. Video concepts and footage must be finalized and selected by this date.
  • A series of dry-runs should be done in real-time, beginning two weeks before the show. Check whether we can rehearse once more the day of, onstage.

Notes:
In the three weeks prior to the show, we need to work closely with production- timing the videos and the script are crucial to the success of the show. It is also very important that good contact be kept with performers and clear explanations are given as to what we are looking for in each performance. I am posting a blurb (and this, i exhort you to look over, edit and suggest on) in order to ensure everybody is on the same page:

We are proud to formally invite (insert group name here) to participate in the seventeenth annual noche latina, to take place April 19th at 7pm. Noche Latina is the annual celebration of our Cultura by the Carolina Hispanic Association, and we would be honored if (insert group name here) decides to add to the discourse of the diverse and complex array of Latinidades.
This year we have chosen to represent the theme Raices (Roots) for our show. Defining the Latino identity has traditionally been problematic because of the sheer variation of influences that inform the umbrella term. This year we choose to celebrate this diversity by tracing back to these influences, showcasing the rich patchwork of cultures that have come to be a part of our community. Musical acts, dance, spoken word, performance art and skits (both humorous and not) are all acceptable media for contribution. We would like your contribution to take into account the framework of this show - how (insert group name here) can represent your own art while acknowledging how it has influenced Latin American and Latino culture. We are available to clarify any specific points regarding your organization´s act and its connection to our 'Raices' as well as provide material for historical background.
Should you decide to help us achieve the success of this very meaningful installment of Noche, we ask your performance be kept around 4:30 minutes.

Sidenote: About awards, Videos

Honors videos produced. Does anyone have contacts in the J-school interested in beefing up audiovisual skills in resume?
This is VERY IMPORTANT: we NEED to find a person or a group of people willing and able to create 3-4 videos for the production. PLEASE contact me, or leave a comment with suggestions and names. The videos will be:
  • Racial and Ethnic diversity in Latino culture
  • Colonial and post-colonial influences of culture (Mestizaje, Africandad, Spanish culture, Asian and European influences...)
  • 'Lifetime Achievement' type video for Peter Kaufmann.

  • Week of March 17th: make sure all media listed above are contacted and alerted. Keep database of contacts from each on file for easy reference and CONTINUED CONTACT!
  • If stickers are to be printed and distributed they must be ready by March 24th.

  • Word of mouth is still incredibly important. Approach people, tell them one-on-one about the event. If necessary, coerce using guilt ;)
